Compare the full cost, not the monthly headline

Ask each vendor for an itemized quote with the same assets, users, modules and term. Calculate first-year cost and three-year total cost of ownership. Treat missing line items as unanswered questions rather than assuming they are included.

What determines fleet software pricing?

Cost lineWhat to request in writing
SubscriptionBilling unit: vehicle, asset, driver, user or site. Minimum units, inactive-asset charges, billing cadence and included modules.
Hardware and connectivityDevice purchase or lease, cameras, installation, activation, cellular service, replacement warranty and removal.
ImplementationMigration, configuration, integrations, training and the work your staff must complete.
Ongoing operationAPI access, video retention, storage, premium support, administrator time and integration maintenance.
Renewal and exitPrice increases, minimum term, notice deadline, early termination, data export and hardware return obligations.

Public prices and custom quotes are different starting points

Fleetio publishes a plan pricing page, while Samsara directs buyers to request pricing. Neither starting point replaces a scoped proposal. Verify the selected tier, billing basis, required devices and services before comparing totals; a maintenance subscription and a hardware-equipped telematics package may cover different work.

A worked budget for 50 vehicles

The following figures are illustrative assumptions in US dollars, not vendor quotes or a market price range. Assume 50 billable vehicles for 36 months, no price increase and no fleet growth.

AssumptionCalculationCost
Subscription50 vehicles × $20 × 12 months$12,000/year
Devices and installation50 × $150$7,500 once
Setup and trainingFixed allowance$3,000 once
Internal rollout labor40 hours × $40/hour$1,600 once
Ongoing administration4 hours/week × 52 × $40/hour$8,320/year
First-year total$12,000 + $7,500 + $3,000 + $1,600 + $8,320$32,420
Three-year total3 × ($12,000 + $8,320) + $12,100 one-time costs$73,060

This example excludes tax, replacements, extra modules and exit costs; add them when applicable. At 1,800 vehicle-months over three years, the modeled cost is $40.59 per vehicle-month. Use active vehicle-months as the denominator if seasonal assets sit idle, while retaining any subscription charges paid for them.

Can a cheaper subscription cost more?

A $5 reduction per vehicle per month saves $3,000 a year for 50 vehicles. Two extra hours of administration each week at $40 an hour cost $4,160 a year. Under those assumptions, the cheaper license raises annual cost by $1,160. Measure cleanup and reporting time during the pilot rather than accepting a savings claim.

Request a comparable quote

  • Provide asset classes, billable counts, branches, users and required workflows. Separate vehicles, trailers and equipment.
  • Request year-one, year-two and year-three totals, with each assumption and optional module shown.
  • Ask how seasonal units, fleet growth and device replacements change the bill.
  • Get API limits, export formats, retention and support response commitments in writing.
  • Assign an internal owner to migration, training and integration maintenance, with estimated hours.
  • Document renewal notice, escalation and termination terms before approving the order.

Choose finalists with the workflow comparison and pilot checklist, then compare costs for the same accepted requirements.

Normalize proposals into one three-year cost model

Fleet software quotes are incomparable until every recurring and one-time charge is moved into the same fleet, asset, driver, storage, implementation, and contract assumptions. A low subscription can be offset by installation, modules, integrations, internal administration, or exit costs.

System mechanics

Calculate first-year cost as recurring fees plus hardware, installation, activation, implementation, integration, training, migration, and internal rollout labor. Extend the model through renewal with device replacement, video retention, usage growth, premium support, administrator time, and expected de-installation and data-export cost.

Control points

Document unit bands, minimum quantities, annual increases, true-ups, paused assets, seasonal vehicles, spare devices, warranty turnaround, cellular service, API entitlements, sandbox access, storage limits, professional-services rates, auto-renewal, and early termination. Tie every assumption to a proposal line or written response.

Acceptance test

Run sensitivity cases for fleet growth, 10% device replacement, doubled video retention, one extra integration, and delayed rollout. Compare cost per active vehicle-month and per completed target workflow, not merely the quoted monthly rate.
